New regulations for tachographs: What fleet managers need to know now!

More and more companies in Germany are relying on digital solutions in fleet management. The digital tachograph plays a key role in this. These devices are not only required by law, but also ensure safe and transparent operation. As Gotha Aktuell reports, vehicles that weigh more than 3.5 tons or carry more than nine passengers must be equipped with these devices. The digital tachographs record important driving data such as driving times, break times and speed as well as mileage.

These regulations are part of EU Regulations No. 561/2006 and No. 165/2014, which specifically apply to commercial freight transport and passenger transport. But lighter vehicles weighing over 2.5 tonnes and used in cross-border traffic will also have to be equipped with digital tachographs from July 2026. Certain exceptions apply to rescue and construction vehicles as well as agricultural and forestry vehicles, as the BAMF adds.

Obligations and special features of digital tachographs

Installing and calibrating tachographs is a mandatory task for companies. Trained technicians must install the devices and calibration is required every two years or when there are significant changes to the vehicle. In addition, the data must be downloaded regularly: driver card data is due within 28 days and vehicle data is due every 90 days. From January 2025, the retention requirement for driver card data has also been increased to 56 days, with companies having to keep the data for at least a full year. This ensures better traceability and protects against possible penalties for violations, which can cost up to 300 euros, depending on the type of violation.

But how are the drivers? They must also be trained in how to use the digital tachographs. Companies are often asked to regularly inform their drivers about correct handling in order to avoid mistakes that could endanger both operations and safety.
